Administrative Assistant - Management Services | Austin, Texas

The Management Services Administrative Assistant is responsible for assisting the Operational Systems and Management Services Departments in overall property and corporate administrative support. Reporting to the Director of Operations, this person will perform a wide variety of tasks to support the management services departments, individual properties, administration of operational systems and serve as a liaison between Management Services, property staff, and other departments.

Essential Duties and Responsibilities (other duties may be assigned):

Administrative Support Responsibilities

  • Provide administrative support to Management Services departments as assigned – coordinating meetings, assisting with travel, collecting and preparing documents, and other department projects as needed. Departments may include: Operations, Operational Systems, Facilities, Training, Res-life and MarCom
  • Assist with customer service calls and provide additional support for property collections process
  • Assist in maintaining ongoing communication with property staff through emails and other forms of communication regarding changes in policy or procedures
  • Assist with completion of corporate Amex and personal expense reports
  • Assist with implementation of gift card policy, reviewing and verifying the ongoing maintenance of logs and reports, and completion of gift card audits
  • Fill rotation of receptionist duties
  • Organize property integration materials and communication
  • Assist in the implementation and coordination of the annual customer service survey
  • Support property BOSS checklist completion and submission from each property on an on-going basis
  • Assist in scheduling and booking travel arrangements
  • Order/replace office break room supplies as needed
  • Assist with corporate filing system as needed
  • Attend scheduled weekly meetings, take notes and distribute company wide

Special Projects

  • Conference and event planning assistance as needed
  • Make recommendations for enhancements to processes and procedures
  • Other projects as assigned 

ACC Obligations

  • Serve as ACC representative and liaison in all interactions
  • Communicate effectively in verbal and written correspondence with property and corporate staff
  • Assist in corporate projects and other duties as requested
  • Assist with conferences, booking travel, hiring employees, etc. as requested
  • Respond appropriately to customer service inquiries during peak periods (HEAT user)

  • Associate’s or Bachelor’s degree preferred; or 3 years’ experience in an administrative support position; or equivalent combination of education and experience
  • Demonstrated commitment to excellent customer satisfaction, for both internal and external customers
